There are hundreds of features available to you when building an online store using WooCommerce. One of them is the ability to set up automatic emails. They allow you to notify your customers when their order is being processed or completed by using unique and branded templates. Even the popular lead generation companies use WooCommerce emails to establish a better relationship with the customers and maximize their marketing efforts.
In this article, we will cover how you can customize WooCommerce emails on your own using different methods. Some are pretty simple, and you don’t need any coding knowledge to successfully change an existing template. Others are a bit more advanced, but we’ll try to explain them step by step.
We’ll start by explaining how to customize emails using WooCommerce settings. Then, we’ll provide you with some useful plugins used for email customization. Finally, you’ll find out how you can modify an email template with code.

This is the simplest way to customize WooCommerce emails. The first thing you should do is log into your WordPress dashboard and choose WooCommerce → Settings from the menu on the left. After the Settings window has opened, click on the Email section from the top bar.
You’ll then be presented with several templates.
For starters, you can customize a Welcome email template that users receive when they create an account or the template of an email they get when requesting a new password. You can also customize the Order Processing template which the customers receive after completing the payment. The Order On-Hold emails are sent when an order is placed on hold, while the Order Completed emails are sent when an order has been shipped.
If you look to the right, you’ll see the Manage button you can click on and customize each of these templates by adding the email subject line, heading, type, and content. You’re also able to personalize these emails with variables, such {customer_name}, {item_names}, or {order_date} if you install the WooCommerce Follow-ups extension.
The design of the email can also be changed to a certain extent. To do that, scroll below the list of the templates and you’ll see global customization options. Keep in mind that you can’t customize your email templates differently.
You can modify the header image and upload your company’s logo or other brand graphics at the top. Footer text is a great place to include more information about the company, such as a link to your website and contact information.
You can change the base color (the color of headings, links, and the background of your email title), background-color (the color of the email background), body background color, and body text color.
When you’re done customizing your email templates, you can preview the templates by clicking the Preview button.
As you can see, customizing your emails on a basic level isn’t difficult at all. If you don’t want to invest too much time on money into your email campaign, these tweaks will do just fine.
WooCommerce has a lot of plugins you can use to customize your emails. Let’s go over some of the popular ones:
Unlike the built-in WooCommerce editor, this one is a visual template editor, which means it’s a bit more user-friendly. All the changes you make can be seen in real-time. You can choose over 15 different elements, such as text, images, GIFs, social media icons, and multimedia. It’s also possible to add dynamic subject lines & content by using placeholders.
This plugin is available for free, but you can upgrade to a premium version. Since it’s compatible with most WooCommerce plugins, you’ve got nothing to lose by installing it and trying it out.
This plugin by YayCommerce has extensive options in terms of email customization. The free version alone includes 11 standard email templates. It’s very intuitive and has a drag & drop interface with a live preview.
You can add a logo, different buttons, text, icons, video, image list, image box, text list, columns, dividers, shipping and billing address, order items, and more. There are also a lot of options regarding shortcodes, variables, placeholders, and personalized content.
The Pro version offers even more customization on background colors, fonts, paddings, gift cards, and such. It even has a “Back in Stock” template you can send to those that haven’t purchased it because the product wasn’t available at the time.
Like the previous plugins we mentioned, YITH allows you to incorporate branded details like logos, headers, footers, social icons, and more. There are four different layouts available with the option to choose a different footer for each template. You can, of course, see the preview of the template and include social media sites.
This plugin is fully compatible with all their other plugins.
Drag and Drop Email Customizer by Flycart
This plugin includes the drag & drop option, which is more efficient than manually customizing your templates on the WooCommerce menu. As soon as you install and activate the plugin, you can add a logo, images, editable text boxes, social icons, clickable URL buttons, etc.
You can edit the content by dragging the elements from the left into the blank area of the document. Once you’re done, you can send a test email to make sure everything is going according to plan.
MailPoet is yet another great tool you can use to customize a WooCommerce email. Aside from including options like drag and drop, this plugin can also be used as a marketing tool.
If you want to customize your email template, start by installing the extension in WooCommerce. Then go to Settings → WooCommerce and select MailPoet. The next thing you should do is open Template Editor and use the drag-and-drop editor to make the changes.
Keep in mind that you can’t make changes to the templates individually. Whatever you do applies to all WooCommerce emails.
As for the options, you can add your logo to the top, change the colors, include images and illustrations, and add a button leading to other content, instruction manuals, or support forums.
It also allows you to send email newsletters with updates, discounts, and product recommendations, or target the users who have abandoned their cart without completing the order. Since MailPoet allows you to segment your customers, you can craft different emails to target a specific part of your audience.
Finally, you can customize a WooCommerce email by accessing its code and altering it. This method is the most complicated one because it requires you to have at least some knowledge of coding languages, especially PHP.
The first thing you should know is that each transactional email is made up of multiple templates you can edit separately.
For instance, there are PHP files named email-header.php or email-footer.php. So, if you wanted to make edits to the header or footer, you’d edit these two files. You can also make edits to a specific template, like the customer-completed-order.php.
To start editing, you need to create a child theme. To do that, go to the wp-content/plugins/woocommerce/templates/emails and download the PHP file you want to edit. For example, if you wanted to make changes to the font color, you’d download email-styles.php. You then need to upload the file to your theme folder. If our child theme was named “BestCommander”, for instance, you’d upload it to bestcommander/woocommerce/emails/email-styles.php.
If you’re unsure of the location of these files, you can easily check that by entering the email settings and selecting the template you want to change. Once you scroll down, you’ll see a section called “HTML Template” with the instruction.
Also, in some cases, you’ll notice some of the folders are missing, such as an “email” folder. If that happens, all you need to do is create the folder.
When you’re done with that, you can open the file in the child theme and edit it. You mustn’t make any changes to the parent theme because you risk losing them each time WooCommerce makes updates.
Once again, you’ll need at least some knowledge of coding to alter the file and make changes to the theme. If you’re not feeling confident about your coding skills, it’s best to let a WordPress administrator do this for you.
As you can tell, there are many ways you can customize WooCommerce emails. You don’t need to be a coding expert to make the changes and create professional-looking emails. The best way to learn is to play around with the plugins and the editor. You’ll be surprised at what you can do without even accessing the code.
